1. Appointments and Cancellation Policy 

All therapists at You Clinics are trained and approved in accordance with the company’s treatment protocols; therefore, we do not guarantee continued treatment with a named therapist. 
While we will make every effort to meet requests, we cannot guarantee a specific practitioner or gender. 
If you need to cancel or rearrange your appointment, please give us 48 hours notice in writing, or the Friday before a Monday appointment. Failure to give 48 hours or weekend notice to cancel or rearrange your appointment will result in the loss of the treatment from your prepaid course of treatments or deposit being redeemed. 
Please arrive for your appointment at least 10 minutes in advance so that the necessary paperwork can be completed. Late arrival may result in reduced treatment time or forfeiture of the appointment. 
You Clinics will endeavour to ensure that your appointment runs according to arranged time; however, should we need to cancel your appointment at short notice, we will make every effort to contact you in advance. 
Prior to your appointment, we will inform you of any preparation required, such as shaving, make-up removal, avoiding sun exposure, etc. Please be aware that if you arrive at your appointment and it is deemed unsafe to continue with your treatment by our staff due to tanning or recent sun exposure, you will also be liable to pay the cancellation fee. 
Please be advised that makeup, deodorant, perfume, and oil-based products must be removed before treatment. Practitioners will cleanse the area; however, we cannot be held responsible for all of the above products that may lay dormant in the skin pores and can cause an adverse reaction. 

  1. Lateness Policy 

If arrival is delayed, it is not always possible for us to accommodate your full appointment, which means your appointment time may have to be shortened or cancelled. We will always try to accommodate last-minute changes if we can; however, this is only if the appointment is available for a later time. Please be aware that with certain skin treatments we may require you to arrive 30 minutes prior to your appointment for the application of numbing cream. Please be advised any lateness may mean the treatment is cancelled if staff members do not feel they can perform treatment without numbing cream having been applied.

  1. Refund Policy

Please note at You Clinics we do not offer refunds on treatments or products. If you change your mind about a treatment you have purchased within 14 days and none of your sessions have been redeemed yet, we are happy to offer an exchange for another service or a credit note. 
Please also note that this policy does not apply to retail products that have been used or opened. We do not offer refunds on retail products. If for any medical reason you are advised not to continue with your course of treatments, please obtain a medical record report from your doctor. Sessions that have not already been redeemed will be refunded proportionally; sessions that have already been redeemed will not be refunded. Please be advised we do not offer refunds on any treatment taken via our finance option, except in cases where a medical exemption is presented. In this case, we would have to charge an administration fee to implement the refund.

  1. Liability Policy 

You Clinics will not be liable in contract, tort, or otherwise for any economic loss (including, without limitation, loss of profit) or for any other special, indirect, or consequential loss or damage arising out of, or in connection with, its provision of any goods and/or services to the client. 
It is the client’s responsibility to ensure that he/she provides us with all relevant medical details prior to each treatment. We will not be liable for any damage that occurs as a result of the client’s failure to disclose such details. 
The client agrees to comply with all instructions and/or recommendations given to them by, or on behalf of, You Clinics regarding the care of a treated area. 

  1. Complaint Policy 

We always try to give the best service possible, but there may be times when you feel that this has not happened. You are entitled to lodge a complaint only in writing. If you require assistance with making your complaint, we will be pleased to help. Please email your complaints to info@youclinics.co.uk.

The member of staff who initially receives the complaint will convey the details to the Clinic Manager or their designated deputy, and you will receive a letter within two days of lodging the complaint that an investigation into the matter is under way. 
During the course of the investigation, we may require you to attend an additional consultation meeting with the practitioner involved in your treatment. If you are not satisfied with this initial attempt at resolution or have any objection to being seen by this practitioner, the clinic’s manager will review your case. 
If the complaint cannot be resolved at the local clinic level, the matter will be referred to our regional manager. 
This is a summary of the complaint procedure. A full version is available upon request. 

  1. Payment Policy

Correct payment must be received before treatments can be scheduled and commenced. Generally this is in full or can be via our finance options. If you refuse to pay in advance, we have the right to refuse your treatment. Instalments must be paid at predetermined intervals: 50% on your consultation/first treatment, 25% on your second treatment, and 25% on your third treatment. A two-part instalment can only be applied for treatments over £500, and a three-part instalment option is applicable for treatment courses above £1000. 

  1. Child Care Policy 

Children are welcome into our clinic; however, our staffs are regrettably not able to supervise children during treatments for health and safety and insurance purposes. We politely ask that you do not bring your children along with you unless they are supervised by another adult.

  1. ZERO TOLERANCE

Our staff and clients have the right to be treated with dignity and respect at all times. They should be able to do their jobs without being physically or verbally abused. Most people respect this. Anyone found abusing staff clients or visitors in person or on the telephone will be asked to leave the clinic. This behaviour will NOT be tolerated. 

Examples of Acceptable Standards of Behaviour Violence. Excessive noise, e.g., recurrent loud or intrusive conversation or shouting. Threatening or abusive language involving swearing or offensive remarks. Derogatory racial or sexual remarks. Derogatory remarks or gestures that are homophobic, biphobic, transphobic, or have a racial or religious connotation. Malicious allegations relating to members of staff, other clients, or visitors. Offensive sexual gestures or behaviours. Abusing alcohol or drugs on practice premises. Drug dealing on practice premises. Wilful damage to practice property. Threats or threatening behaviour. Theft 

In such circumstances, we have the right to refuse any further treatments, and refunds will not be awarded in this case. Any incident of this nature would preclude any further treatment or presence in the building. 

We will enforce this policy with police services should the need arise. 

  1. Packages and Memberships (I read, understood, and informed and confirmed You Clinics regarding these circumstances.)
  • I understand that any package purchased will expire 12 months from date of last payment made.
  • I understand that any remaining treatments left on a package once it has expired must be used within 12 months of the package expiring.
  • Please note that we do not accept any package or membership payments into clinic, these must be paid via direct debit. If you miss a direct debit payment, we reserve the right to charge you a late payment fee.
  • For all skin memberships and laser hair removal: your treatment date must be after your direct debit payment date. Please ensure you book your appointments after your direct debit date.
  • All memberships and packages must be maintained for a minimum of 3 monthly payments in order to receive treatments and products at the discounted rate. In the event of cancellation or default within this period, you will be liable for any outstanding costs.
  • I understand any package or membership treatments are non-transferable and direct debit or upfront package payments can only be used against the treatment originally purchased or the treatments included in the specific membership or package.
  1. Pregnancy and Breastfeeding (I read, understood, and informed and confirmed You Clinics regarding these circumstances.)
  • We are unable to treat any patients who are pregnant or breastfeeding.
  • In the event you set up a package or membership and are pregnant or breastfeeding, we will suspend treatments for this duration and pause any future payments until you are ready to resume treatment.
  1. New Patients (I read, understood, and informed and confirmed You Clinics regarding these circumstances.)
  • New patients wanting to secure an appointment at You Clinics, will be required to pay either the full consultation fee or a deposit for treatment prior to their first appointment. This amount is redeemable against any treatment you decide to go ahead with (excluding laser hair removal consultation & patch test). If you decide not to go ahead with treatment, fail to attend your appointment, cancel or reschedule less than 48 hours before your appointment this deposit will not be refunded.
  1. General Terms and Conditions (I read, understood, and informed and confirmed You Clinics regarding these circumstances.)
  • Gift Vouchers including referrals and birthdays can only be redeemed against treatments, NOT products. Purchased gift vouchers may be used against products or treatments.
  • I understand that I must avoid alcohol, aspirin and non-steroidal anti-inflammatory drugs, such as ibuprofen, for at least 24 and preferably, 48 hours prior to any treatment and that You Clinics cannot be held responsible for any adverse effects resulting from the use of these substances.
  • I understand that the practice of medicine and surgery is not an exact science and therefore that no guarantee can be given as to the results of the treatment(s) that I have agreed to undergo. I accept and understand that the goal of this treatment is improvement, not perfection, and that there is no guarantee that the anticipated results will be achieved and that treatments may sometimes be unsuccessful.
  • I understand that You Clinics do try to run the clinic efficiently and on time, however, there are always occasions when appointments run behind schedule due to factors beyond our control. I understand that if You Clinics keeps me waiting, I will be seen as soon as possible.
  • I agree that if I am running late to my appointment, I will let You Clinics know so that the clinic can try and alter our appointments accordingly. I understand that if I am late, my appointment may be delayed further by later appointments being seen on time.
  • Reassessment appointments, or any appointment made as a result of genuine concerns about the treatment will be free of charge. I do understand that You Clinics reserves the right to apply a charge, indicated in advance, for our time in some circumstances.
  • I understand that You Clinics reserves the right to refer non-payments to debt collection agents.
  • I understand that all treatments must be paid for at the time of treatment. Cash and credit/debit cards are accepted.
  • I understand I will be seen on my own unless a chaperone/translator is required.
  • I understand that You Clinics cannot allow children under the age of 18 into the clinic.
  • I understand no food can be consumed on our premises.
  • I confirm I am 18 years or older.
